Estimating Coordinator

Position Summary

The primary responsibility of the Estimating Coordinator is to support the department in project set up, organization, and proposal retrieval; printing plans, taking notes; and managing contacts and tracking logs. This person needs to be able to communicate clearly and effectively in person and over the phone, be able to work extensively with Excel, Word, and PDF viewers, and be highly organized.

This is a full-time position with working hours 7am-4pm M-F.

Essential Functions

The duties of this position include the following: 

  • Receive plans, organize, file, and collaborate with team to create a project

  • Set up projects:

  • Know trades.

  • Order plans.

  • Work in Pantera

  • Manage with Suzie.

  • Put projects together to send to subs.

  • Keep info updated and current. Updating contacts/ contact management.

  • Create, observe, and participate in the making of sub calls (average:10- 150 calls per day.)

  • Generate the call list and organize who is making which calls.

  • Call subs for responses, confirm they have the invites, and collect proposals.

  • Create and provide project stoplights:

  • 2nd round calls, track PM/PE calls.

  • Track and provide bid results requests to estimators

  • Sub surveys:

  • Create, send out, and track.

  • Meeting minutes.

  • Wednesday team meetings.

  • Subcontractor tactic group.

  • Subcontractor tactic meeting:

  • Participate as needed.

  • Run reports, track goals, keep the meeting minutes.

  • Quarterly review prep/ 30/60/90-day review prep

  • Plan and set up team events:

  • Teambuilding Events.

  • Christmas Party.

  • Subcontractor Appreciation.

  • Create new tracking sheets as needed

  • Archive files and data clean up

  • Create how-to manuals

  • Run Project Interns while they are in Estimating

  • Work with several Excel trackers and compile reports:

  • Sub surveys.

  • Bid results.

  • Sub participation and report to Estimator.

  • Contract tracking.

  • Estimator contract and goal logs.

  • Kickoff, pre/demob meeting tracking.

  • Workloads update.

  • Excel, Word, Bluebeam (PDF Viewers)

  • Working with OST, Pantera, Procore, and general Microsoft Office
